This notice covers smaigent.com and the Smaigent AI receptionist on this website. Smaigent is responsible for handling these website enquiries. For privacy questions or requests, email [email protected]. A business using Smaigent on its own website is responsible for its customer information and should provide its own privacy notice.
What we receive
- Chat and enquiry details: the messages you send, your questions and any business details you choose to share. If you request a follow-up, we ask for your name, email address or phone number and permission to respond.
- Website context: the page where you opened the chat, the landing page, referring website and campaign details when available. These help us understand where an enquiry came from.
- Technical information: conversation identifiers and information used to operate, secure and troubleshoot the service. Hosting and anti-spam services may process your IP address and browser information.
The six industry examples on the homepage use fictional, preset conversations. Clicking those example questions does not send a message to the live receptionist. The demo email form opens a draft in your email app; we receive that request only when you send it.
How we use it
We use chat messages to generate AI-assisted answers, understand your request and help our team follow up. We use technical information to prevent abuse, enforce usage limits and investigate service problems. We ask for permission before using contact details for an enquiry follow-up. You can ask us to stop that follow-up at any time.
The receptionist is AI, and its answers can be incomplete or mistaken. Our team confirms commercial terms and any arrangements. This chat does not collect payment cards or start a subscription. Please keep passwords, payment details and sensitive personal documents out of the conversation.
Services that help us run the website
We use OpenAI to prepare approved knowledge and generate chat responses, Supabase for application data, Contabo for hosting, Cloudflare for website protection and anti-spam verification, and Resend for enquiry notification emails. Relevant information is processed by these providers to deliver their part of the service. Our designated team receives enquiry details so it can respond. Service providers may process information outside your country.
Browser storage
The receptionist uses session storage in your browser to keep conversation identifiers while you browse this site in the same tab. It does not put your contact details in that storage. Cloudflare verification may use browser information and security mechanisms to distinguish visitors from automated abuse. Blocking these mechanisms can prevent the chat or enquiry form from working; you can email us instead.
How long information stays
Smaigent’s website chat is configured to expire conversation transcripts after 24 months of inactivity through a scheduled cleanup. Enquiry records, follow-up correspondence, operational records and backups are separate from transcripts and may remain where needed to handle a request, maintain the service or meet applicable obligations. You can contact us to request earlier deletion; we will explain any information that needs to be retained.
Your choices and requests
You can ask general questions without providing contact details. Contact details and follow-up permission are needed if you want a personal response from the team. You can request access to, correction of or deletion of your information, object to its use, or withdraw permission for follow-up by emailing [email protected]. We may need enough information to verify that the request concerns your records. You can also raise concerns with the privacy authority that applies to you, including the Philippine National Privacy Commission.
